Proposal Coordinator
A proposal coordinator is the production and logistics owner of a pursuit: the person who holds the schedule, manages contributor accountability, and ensures a compliant, complete submittal reaches the client before the deadline.
What the Role Actually Covers
The title undersells the job. On a federal SF-330 submittal, the coordinator is tracking Section E resumes across multiple subconsultants, reconciling page limits against Section F project narratives, and chasing down wet signatures or SAM.gov registration numbers days before submission. On a design-build pursuit, they may be synchronizing inputs from a GC partner whose internal process runs nothing like the AEC firm's. The coordinator rarely writes the proposal but is responsible for every word that goes out the door.
Where Coordinators Absorb the Most Risk
The two-week proposal timeline common to many public-sector pursuits compresses every dependency into a narrow window where a single late resume or missing project photo can cascade into an overnight production crisis. Coordinators carry that risk silently, because the failures are visible and the near-misses are not.
