Customer Relationship Management (CRM) Software

On this page

Customer relationship management (CRM) software is a category of platform that records a firm's interactions with clients, prospects, and teaming partners, organizing contact history, opportunity tracking, and pipeline data across the business development lifecycle from first outreach through awarded work.

How AEC CRM Differs from the Product-Sales Model It Was Built On

Most CRM platforms were designed around transactional sales cycles where a qualified lead converts to a closed deal in weeks. AEC operates on qualification-based selection, mandated for federal work under the Brooks Act since 1972, where relationships precede published opportunities by months or years and where the "sale" is a scored evaluation of qualifications, not a negotiated price. AEC-specific platforms like Deltek Vantagepoint and Unanet CRM (formerly Cosential) account for this by organizing pipelines around agencies, project types, and teaming partners rather than product lines. What they all still depend on is consistent data entry, and that is precisely where most AEC CRM deployments break down: the seller-doer model puts relationship ownership in the hands of principals and PMs who log calls at a fraction of the rate a dedicated BD rep would. A contact record that shows two touchpoints in eighteen months probably reflects data discipline, not actual relationship depth.

Where CRM Data Shapes Pursuit Decisions at the Right Moment

The highest-value use of CRM in a pursuit context is upstream of the RFP: informing the go/no-go decision by surfacing how many documented touchpoints exist with the client, whether a preferred teaming partner is already committed to a competitor, and how the firm has performed on prior shortlists with this agency. During active pursuit, BD teams should use CRM to identify which principal carries the strongest documented relationship with the key evaluators, not just the closest geography. After award or debrief, loss reasons and evaluator feedback belong in CRM immediately, before the pursuit team moves to the next deadline and that institutional knowledge disappears. Firms that treat CRM updates as post-pursuit housekeeping rather than pre-pursuit intelligence generation are effectively paying for a contact database.
